What we collect, and why
When you join our list ("Tell me when courses open")
- Your name and email address, so we can email you.
- What you are interested in, and whether it is for you or a team, so we send you the right information.
- Your organisation, if you choose to give it.
- Your answers to our free checker, if you used it on the same page before signing up. Until you sign up, they stay on your device.
- A record of your consent: the wording you agreed to, when you agreed, and when you confirmed by clicking the link in our email.
We will email you to confirm. If you do not confirm within 30 days, we delete your details. Once you confirm, we send you one welcome email. After that, we will email you as soon as enrolment opens, and we will not send you any other messages. If you unsubscribe, we send one email confirming it.
Our lawful basis is your consent. You can withdraw it at any time by unsubscribing.
When you ask about a course, or ask us to call you
If you send us an enquiry or ask us to call you back, we collect:
- your name and email address;
- the course you are asking about, and whether it is for you or a team;
- your message;
- your phone number, if you give it, and whether you asked us to call you;
- for a team, your organisation and how many people it is for;
- your answers to our free checker, if you used it on the same page;
- how you reached us, as described under "How you reached us".
We use this to answer your question. If you give us a phone number, we may call you about your enquiry. You do not need to join our list to ask us a question. If you also tick "Email me when courses open", we add you to our list in the usual way, and you confirm by email first.
Our lawful basis: if you are asking for yourself, we are taking steps you have asked for before you may enter into a contract with us. If you are asking for your organisation, it is our legitimate interest in answering enquiries from organisations. We have checked that this does not override your interests.
Following up your enquiry
If we have not heard from you, we may follow up your enquiry: one email about two working days after you contact us, one phone call about five working days after (if you gave us a number), and a last email about ten working days after. Then we stop.
These messages are only about the enquiry you made. We do not use them to offer you other products.
We stop sooner if you reply, if we speak to you, or if you tell us you do not want any more follow-ups. You can tell us at any time by replying to any of our emails. Each follow-up email tells you how to stop. You can also tick the box on the form, or use the link in the email.
Our lawful basis is our legitimate interest in making sure your question has been answered. We have checked that this does not override your interests. You can object at any time.
Phone calls
When we speak to you on the phone, we make a short note of the call: the date and time, whether you called us or we called you, how long it lasted, what was said, and any next step we agreed. We do not record calls.
Our lawful basis is our legitimate interest in keeping an accurate record of what we have discussed and agreed with you, and, if you are asking about a course for yourself, taking steps you have asked for before a contract.
If we add your details ourselves
If you phone us, email us directly, speak to us at an event, contact us through a professional networking site, or are referred to us by someone else, we may add your details to our records. We record your name, how to contact you, your organisation, the course you are interested in, and where your details came from.
If your details came from someone else, for example a referral, we tell you when we first contact you, and at the latest within one month. We do not send marketing emails to anyone who has not asked for them.
Our lawful basis is our legitimate interest in following up people who have contacted us or been referred to us. We have checked that this does not override your interests. You can object at any time.
Our internal record of enquiries
To plan our work, we keep an internal record of where each enquiry has reached (for example "Enquiry", "Spoken to" or "Applied"), and an estimate of what it may be worth to us, worked out from the course price and the number of learners. If an enquiry does not go ahead, we may note the reason, for example that you chose another provider.
This is for our own planning only. We do not share it, and we do not use it to make decisions about you. You can ask to see it, as with any of your information.
Our lawful basis is our legitimate interest in planning and running our business.
How you reached us
When you sign up or send us an enquiry, we record which page you signed up on, the page your visit began on and, if the link you followed carried them, the campaign details in the web address (for example "utm_source=linkedin"), the page that referred you, and advertising click identifiers. We use this to understand which of our pages and posts are useful. We read it from the web address, not from cookies, so it is recorded whether or not you accept analytics cookies. We do not send it to advertising companies. If you accept analytics cookies, Google Analytics also receives the campaign details in the address (not the advertising click identifiers). We do not record your IP address with your sign-up or enquiry.
Our lawful basis is our legitimate interest in understanding how people find us. We have checked that this use does not override your interests. You can object at any time.
Emails between us
We keep a record of the emails we send you, so that we have one accurate record of our contact with you. Our emails come from kate@practitionerpathways.co.uk or neil@practitionerpathways.co.uk.
We also save to your record the emails you send to those addresses, and the emails we send you from them: the subject, the text, the date, and the addresses it was sent to and from, including anyone else copied in. We do not save attachments to your record. We do this only for people already in our records. We do not store any other email, such as personal or supplier email.
Our email is provided by Google Workspace, so copies also stay in our mailboxes.
Our lawful basis is our legitimate interest in keeping accurate records. We have checked that this does not override your interests. For emails about your list membership, it is also your consent.
Website analytics
With your permission, given through the cookie banner, we use Google Analytics to count visits and see which pages are used. If you do not agree, Google Analytics does not run and no analytics cookies are set. It records the pages you visit, your approximate location (town or country), your device and browser, and how you arrived, including any campaign details in the link. For the free checker, it records only which qualification was suggested, never your answers, and it records whether you signed up for updates or asked us for a call or a staff audit, never your details. We never send your name, email address or anything you type into a form. Google signals and advertising features are switched off, and Google Analytics does not store IP addresses. Our cookie notice explains more.
Google Analytics is provided by Google, and keeps the detailed data linked to your device for 2 months. Google may process it outside the UK, including in the United States. Where it does, it is protected by the UK's data bridge with the United States, which Google has signed up to, or by the standard contract clauses in Google's data processing terms.
Our lawful basis is your consent. You can withdraw it at any time using Cookie settings at the bottom of any page.
How long we keep it
| Information | How long |
|---|---|
| A sign-up you have not confirmed | 30 days, then deleted automatically |
| Your list membership, once confirmed | Until you unsubscribe, or 24 months after you joined or last heard from us, whichever is first. Before deleting, we email you once to ask whether you want to stay on the list. If you do not reply within 30 days, we delete your details. |
| Your details after you unsubscribe | Deleted within 30 days, apart from the scrambled code below and a record of what you agreed to and when, linked to that code and kept for 6 years to show we acted on your consent. |
| Records of the emails between us, if you are only on our list | As long as your list membership, then deleted. |
| Your enquiry or call-back request, our notes of calls with you, the emails between us, and our internal record of your enquiry, if you do not go on to apply | 24 months after our last contact with you, then deleted. If you are also on our list, we keep them for as long as your list membership if that is longer. |
| Details we added ourselves, if you do not go on to apply | 24 months after our last contact with you, then deleted. |
| Your request that we stop following up your enquiry | Kept with your enquiry, so we do not follow up again. If you ask us never to contact you again, we keep only the scrambled code described below. |
| A record that you unsubscribed | Kept as a one-way scrambled code made from your email address (the address itself cannot be read back from it), so we never email you again by mistake |
Who we share it with
We never sell your information. We use these organisations to run our services; they act on our instructions:
- Google, which hosts our website (on its worldwide network) and our database (in London), and provides our email and website analytics.
- EdTech Assurance Limited, which builds and supports our systems.
Google may process information outside the UK. Where it does, it is protected by the safeguards in Google's data processing terms, such as standard contract clauses approved for UK data protection.
Your rights
You can ask us:
- for a copy of the information we hold about you;
- to correct it;
- to delete it;
- to restrict how we use it, or to object to how we use it;
- to give you a copy in a form you can take elsewhere.
You can unsubscribe at any time using the link in any of our emails, or by replying to one. You can object to our use of your information for marketing at any time, and we will stop. You can ask us to stop following up your enquiry at any time, by replying to any of our emails. Where we rely on our legitimate interests, you can object, and we will stop unless we have a strong reason to continue that outweighs your interests.
We will answer within one month. There is no charge.
We do not make any decisions about you by automated means that have legal or similarly significant effects.
Complaints
If you are unhappy with how we have handled your information, please contact us first at enquiries@practitionerpathways.co.uk. You also have the right to complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.

We will update this notice when we change how we use your information, and show the date at the top.
